About the role
Verita AI is hiring its first accountant to own daily finance operations. The business pays hundreds of contractors around the world on weekly cycles, bills enterprise customers from verified time data, and moves money across banking, card, payroll and payout platforms.
Take over work currently split between the founders and outside firms, keep the books clean and current, and maintain a clear record of where every dollar came from and where it went.
Work closely with outsourced CFO and tax partners. Your work will feed directly into decisions the founders make every week.
Scope of Work
- Billing and receivables: prepare customer invoices, including weekly invoices from verified time tracking data and project invoices for deliverables. Work with customer AP portals and finance teams on W-9s, approvals, payment status and overdue balances.
- Contractor payouts and payables: process large payout batches through the EOR platform, review payout invoices before release, pay vendor bills and maintain approvals and supporting documentation.
- Month-end close: reconcile bank accounts, credit cards, payroll and payout platforms. Close monthly with accruals for revenue and contractor costs and keep the close calendar on schedule.
- Maintain accurate QuickBooks Online categorization and a chart of accounts supporting customer and project reporting. Correct historical categorization issues.
- Support payroll runs, resolve exemption and registration issues with the payroll provider, and reconcile payroll to the general ledger.
- Prepare 1099s and W-9s; support R&D credit questionnaires, franchise tax and annual filings; serve as the main contact for outside tax preparers.
- Maintain audit-ready records linking invoices to underlying time and delivery data, with documentation for customer questions, audits and disputes.
- Build reporting on cash position, receivables aging, contractor cost by customer and burn. Automate manual processes.
What you’ll bring
- 3+ years of accounting experience, ideally at a startup, marketplace or services business with high transaction volume.
- Strong command of QuickBooks Online and Excel or Google Sheets.
- Hands-on experience with Mercury or similar banking, Ramp or similar cards, Bill.com, Gusto, and Deel or another global payout platform.
- Experience owning monthly close and reconciliations.
- Experience paying or billing for contractors, including 1099 reporting and international payouts.
- Extreme attention to detail and a habit of documenting work.
- Comfort operating independently in a fast-moving environment as the accounting team.
